Account and identity details: name, business name, email address, phone number and billing details.
Communications data: SMS, emails, call recordings, voice transcripts and chat logs processed through our platform.
AI knowledge base data: business FAQs, price lists and similar material you provide to set up your AI Employees.
Payment information: billing details collected at checkout. Cards are processed securely by a third-party payment provider, and we do not store full card numbers.
2. How We Use Your Information
We use your information only to:
Provide and improve our AI automation and customer management services
Set up and improve your own AI Employees (your data is kept separate and is not shared between clients)
Process payments and monthly billing, and issue tax invoices and receipts
Meet our legal and tax obligations under Australian law
3. Sharing and Service Providers
We do not sell or trade your data. We share information only with trusted service providers where needed to run the platform:
Cloud infrastructure providers: hosting the servers the platform runs on
Payment providers: processing payments
Telecommunications carriers: delivering SMS and automated voice calls
AI engine providers: the language model services that power the AI Employees. Data is processed under enterprise-grade agreements and the data processing terms of those providers.
4. Overseas Disclosure (APP 8)
Our service infrastructure uses enterprise-grade data centres located in the United States, and some of our service providers may handle data outside Australia. Data is encrypted at rest (AES-256) and in transit (TLS 1.2 or above). We take reasonable steps, including through contractual data processing obligations, to ensure that overseas recipients handle personal information in a manner consistent with the APPs.
5. Cookies and Analytics
Our website uses essential cookies to support sign-up and checkout, and basic analytics tools to understand how the site is used and to improve it. You can manage or disable cookies in your browser settings at any time.
6. Data Retention and Deletion
Active accounts: we keep your data while your subscription is active.
After cancellation or termination: we keep your data for a 30-day Grace Period, during which you can request an export or reactivate your account. After the Grace Period, your account is closed, the data is no longer accessible to you, and we delete it from our live systems.
Backups: copies held in our backups may be kept for up to 12 months after account closure, solely for disaster recovery and legal compliance. They are not used for any other purpose and are permanently deleted at the end of that period.
Financial records: invoices and payment records are kept for 7 years to meet the requirements of the Corporations Act 2001 (Cth).
Deletion requests: you can ask us to permanently delete your business data at any time at myaiboss.com/contact-us. Verified requests will be actioned within 30 days. Copies in backups are deleted at the end of the backup retention period above, and records we are legally required to keep are retained for the required period.
